Team Utilization Heatmap

Visualize your team's availability, bookings, and open gaps at a glance.

1What is the utilization heatmap?

The Team Utilization Heatmap gives sales managers a visual grid showing every team member's week: when they're available, when they're booked, and where there are gaps. Each row is a team member, each column is a time slot. Cells are color-coded:
  • Green — booked with an appointment.
  • Gray — blocked (calendar busy, outside working hours, or not available).
  • Empty/light — available but unbooked — a gap that could be filled.

2Sorting options

Use the sort dropdown to reorder the grid:
  • By Group/Team — groups members by their team assignment.
  • A–Z — alphabetical by name.
  • By Utilization Rate — most utilized reps at the top, highlighting who has capacity.

3Timezone control

The heatmap defaults to Eastern Time for consistent team-wide comparison. Use the timezone dropdown to switch to any member's local timezone or your own. Appointments and availability shift accordingly so you always see accurate time slots.

4Spotting gaps for ad coverage

The primary use case is identifying under-filled time slots across your team. If you see clusters of empty availability, you know those are windows where running more ads or booking more meetings could improve utilization. The heatmap answers the question: "Where do we need to fill gaps?"
